PeakMind (“PeakMind,” “we,” “us,” or “our”) provides a mental performance and team wellness app for athletes, coaches, and designated wellness staff. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

By using PeakMind, you agree to this Privacy Policy. If you do not agree, please do not use the app.


1. What data we collect

We collect information in the categories below depending on how you use PeakMind and your role (athlete, coach, wellness staff, or admin).

Account information

When you create an account or sign in, we collect information such as:

Daily check-in data (including mental health–related metrics)

These metrics relate to mental and physical readiness and may reflect mental health–related patterns over time. Check-in notes and detailed scores are not shared with coaches in wellness alert emails (see Wellness Monitoring below).

Cycle tracking data (sensitive health information)

For athletes who opt into or are eligible for cycle tracking features, we may collect menstrual cycle–related information you provide, such as:

We treat this information as sensitive health data. It is used to improve readiness insights for you and, where applicable, aggregated team insights for coaches. Coaches do not receive raw cycle details in wellness notifications.

Private support screens are excluded from product analytics. For example, visits to the in-app Resources screen are not logged to personal analytics in the same way; we may record anonymous, aggregate counts of resource screen use (without your user ID) for system health monitoring only.

3. Wellness monitoring

PeakMind includes an automated wellness monitoring system that analyzes check-in patterns to identify athletes who may benefit from mental health support. This system looks at mood, stress, and energy trends over time — not a single bad day in isolation.

Who the wellness contact is

The wellness contact is set by the coach in team settings. This person should be a qualified mental health professional or athletic trainer (or comparable wellness staff your organization designates). Teams can turn wellness monitoring on or off in coach settings.

What wellness emails include — and what they do not

No specific check-in data or scores are ever included in wellness notifications — only the athlete’s name and a recommendation to check in with them in a supportive, private conversation. Mood ratings, stress scores, energy levels, sleep data, notes, and cycle-related information are not sent in these emails.

Wellness staff with in-app access may review crisis flags through a dedicated, role-restricted workflow on their team.

Resources for athletes

Athletes can access mental health resources through the app at any time from their profile screen (and from other discreet entry points in the athlete experience), including crisis lines and team wellness contact information when configured.

Not a medical device

This system is not a medical device and does not provide clinical assessments or diagnoses. It is designed to prompt timely human support — not to replace professional mental health care or emergency services. In an emergency, call your local emergency number or use crisis resources such as 988 or Crisis Text Line.

PeakMind may also record anonymous, aggregate counts of Resources screen use (without tying visits to individual athletes) to monitor system health. Authorized admin accounts may view those aggregates only.


4. Who we share data with

We use trusted service providers to operate PeakMind. They process data on our behalf under contractual obligations to protect it.

Supabase

We use Supabase for authentication, database storage, and serverless functions. Your account data, check-ins, team data, and app content are stored and processed through Supabase infrastructure.

OpenAI (AI insights)

We use OpenAI to generate coach-facing insights and recommendations. Data sent to OpenAI for this purpose is limited to what is needed to produce team-level insights—such as aggregated or de-identified team check-in patterns and summary statistics—not an athlete’s private notes or individual wellness alert content. We design these flows to minimize personal identifiers where possible.

Expo (push notifications)

We use Expo push notification services to deliver notifications to your device. This requires sharing your push token and message content needed to deliver the notification.

Legal and safety

We may disclose information if required by law, court order, or to protect the rights, safety, and security of PeakMind, our users, or others.


5. Data retention

We retain your information for as long as your account is active or as needed to provide PeakMind, unless a longer period is required by law.

When you delete your account or request deletion, we will delete or anonymize your personal data within a reasonable timeframe, except where we must retain certain records for legal, security, or backup purposes for a limited period.

Aggregated or de-identified data that cannot reasonably identify you may be retained for analytics and product improvement.


6. Your rights

7. Special note on health data

PeakMind is designed for mental performance tracking and team wellness support, not for clinical diagnosis or treatment.

Check-in data, wellness flags, and cycle-related information may be sensitive and can relate to your physical and mental health. We apply access controls, role-based permissions, and product design choices (such as limiting wellness email content) to reduce unnecessary exposure of sensitive data.

You choose what to enter in optional fields (such as notes). You can use in-app resources and professional help whenever you need support beyond what the app provides.


8. No medical advice

PeakMind does not provide medical advice, diagnosis, or treatment. Content, insights, scores, and alerts are for informational and educational purposes only. Always seek the advice of a qualified health provider with questions about a medical or mental health condition.

In an emergency, call your local emergency number (for example, 911 in the United States) or use crisis resources such as 988 or Crisis Text Line.


9. Children

PeakMind is intended for users 12 years of age and older. We do not knowingly collect personal information from children under 12. If you believe a child under 12 has provided us data, contact us and we will take steps to delete it.


10. Security

We use industry-standard measures to protect data, including encryption in transit and access controls on our database. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.


11. International users

If you use PeakMind from outside the United States, your information may be processed in the United States or other countries where our service providers operate. Those countries may have different data protection laws than your country.


12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy with a new “Last updated” date. If changes are material, we may notify you through the app or by email. Continued use after changes means you accept the updated policy.
